Commercial Service Terms & Conditions
Johnson Pool & Spa | Commercial pool, spa and water-feature service
Effective December 1, 2026 | Last updated October 31, 2026
These terms apply to all commercial service accounts of Johnson Pool & Spa ("JPS"), including HOAs, property management companies, hotels, clubs and other facilities. Your service proposal sets your prices, visits per week and the services you chose. These terms cover everything else. Continuing service after the effective date accepts these terms.
1. Service schedule
Each body of water is serviced at the visits per week shown on your proposal. Visits per week are year-round; there is no seasonal or off-season schedule.
There is no service during Thanksgiving and Christmas weeks, when the Service Department is closed. No credit is given for those weeks.
If a visit falls on another holiday, service happens that day, the day before or the day after.
On rainy days, the technician completes as much of the visit as is safe.
We work to keep consistent service days, but days, arrival windows and technicians may change because of routing, staffing, holidays, weather or other operational needs.
Service Department hours are Monday–Friday, 8:00 am–4:00 pm. On-call Saturdays are 9:00 am–2:00 pm, May through September.
2. What service includes
Test and balance sanitizer, pH, total alkalinity, calcium hardness and conditioner each visit, and record readings in the JPS service record.
Brush and net each pool and spa; vacuum as needed; empty skimmer, pump and cleaner baskets.
Monitor filter pressure; backwash D.E. and sand filters as needed at no extra charge; lube O-rings at the equipment location.
Scrub the waterline tile monthly and inspect the equipment room or pad.
3. Chemicals included
Included chemicals are based on the regular maintenance dosage for the size of each body of water under normal bather load: sanitizer (chlorine or salt), muriatic acid, soda ash, sodium bicarbonate, conditioner, calcium chloride, and D.E. for D.E. filters. Specialty chemicals in a treatment plan on your proposal are included at the plan's regular dosage.
Not included and billed at standard rates: chemicals above the regular dosage (heavy bather loads, events, storms, contamination, fecal or vomit incidents, equipment shutdowns); specialty chemicals not in a treatment plan (stain or phosphate removers, clarifiers, algaecides, enzymes, tile cleaner); chemicals left on site; and recovery of green or cloudy water.
4. Required recurring services
To keep each system healthy, JPS performs the following on schedule without further notice and bills them on the next invoice at your proposal price or our current rate:
Filter clean and inspection of D.E. and cartridge filters every 3 months
Spa drain, clean and refill every 3 months
High use may require these more often. Equipment maintenance and optional services you accepted on your proposal are also performed on their schedule and billed on the next invoice.
5. Parts, materials and repairs
Extras of $80 and under (parts, chemicals and materials) are done without prior approval. The facility is notified on the service report and invoice, but they are not quoted first.
Anything over $80 is quoted and done only with approval.
If the facility prefers to be quoted for all extras, regardless of the amount, we can set that up. A different approval limit can also be set in writing.
Equipment diagnosis and repair are handled by the Repair Department and billed at our current diagnostic and hourly rates, plus parts. Additional visits requested by the facility are billed at our current hourly rate unless included on the proposal.
6. Facility responsibilities
The facility is the permit holder and is responsible for health-department permits, inspections, required signage, safety and rescue equipment, drain covers and other code requirements. JPS notifies the facility of conditions it observes.
Assign an on-site responsible person to test and log water on non-service days as required by code, and to close the pool when readings or conditions are unsafe.
Keep pools without an autofill full, run filtration for at least one turnover every 6 hours for pools and every 2 hours for spas (or as required by code), and remove manual covers before service.
Keep a brush, net and telepole on site; keep gates, locks and access codes current; repair or replace broken or damaged equipment.
Tell JPS about bather incidents, events, closures and changes to vendor-compliance requirements, and provide any required compliance documents list.
7. Billing and payment
Billing schedule
Service is billed on the 1st of each month for the previous month's work. Invoices are due within 30 days of the invoice date. All invoices and statements are electronic and emailed to the billing contact.
Payment options
A payment method on file is not required while the account is in good standing, though we encourage it for recurring service. Commercial accounts may pay by:
| Payment method | Processing surcharge |
|---|---|
| Check | None |
| Bank account (ACH) | None |
| Debit card | None |
| Credit card | Up to 3% on eligible payments, shown on the invoice and receipt |
Make checks payable to Johnson Pool & Spa and mail them to 9650 Old Redwood Hwy., Windsor, CA 95492.
Setting up payment or AutoPay
Use of the customer portal is optional. Our Account Manager can help with payment setup at (707) 837-0604 ext. 202, or call Accounting at (707) 837-0604, option 6. Facilities may also pay invoices, save a payment method and view service reports at johnsonpoolandspa.poolbrain.com.
Past-due accounts
Invoices unpaid 30 days after the invoice date are past due.
Past-due balances accrue late fees at up to 18% per year, prorated daily, with a $15 minimum.
A past-due account may be required to keep a card or ACH authorization on file for automatic payment going forward.
Service may be placed on hold until the account is current, including late fees and collection costs.
Vendor compliance
Vendor-compliance documents (W-9, certificate of insurance) are provided on request. Please tell us if your property requires invoices to be submitted through a specific vendor or payables portal.
Questions about a charge? Email service@johnsonpoolandspa.com and we will review it with you.
8. Changes to rates and terms
JPS may adjust rates or update these terms with at least 30 days' written notice by email to the billing contact. The current version is always posted on this page. Continuing service after the effective date accepts the updated rates or terms.
9. Cancellation
Either party may cancel service at any time. Cancellations from the facility must be in writing, by email to service@johnsonpoolandspa.com or by mail to 9650 Old Redwood Hwy., Windsor, CA 95492, and may take effect immediately. Open service orders are completed and invoiced, and the month's service is prorated to the cancellation date.
10. Disclaimers
Surfaces: plaster and other finishes are natural materials. Shading, mottling, spotting, scaling and staining can result from fill water, materials, hydraulics, sanitizer type and bather load outside routine service control.
Equipment shutdowns: green or cloudy water caused by equipment failure, power outages or system shutdowns is quoted and billed separately.
Salt systems and covers: salt water increases wear on metal, stone, plaster and equipment, and cover fabrics wear in treated water. This is normal wear.
